Where information is collected from another source, we will take reasonable steps to ensure you are aware of the collection where appropriate.

6. Why we collect and use personal information

We may collect and use personal information to:

Submitting an application does not guarantee that the application will be reviewed, an interview, employment, sponsorship, a visa outcome or any other result.

Where a listing directs the candidate to an external website, Brisbane Olympic Jobs may not receive or control the information submitted through that external website.

8. Candidate database and Talent Pool

Candidates may be given the option to allow Brisbane Olympic Jobs to retain their profile for consideration for future opportunities.

Where a candidate provides this consent, we may:

  • retain the résumé and candidate profile;
  • categorise the profile by occupation, industry, skills, location, licences and experience;
  • search and filter the profile for suitable roles;
  • contact the candidate about opportunities;
  • contact the candidate about relevant training or support services where separately permitted; and
  • ask the candidate whether they agree to be introduced to a particular employer, recruiter or provider.

The complete Talent Pool is intended to remain restricted to authorised Brisbane Olympic Jobs personnel. Employers and recruitment agencies will not automatically be given unrestricted access to the complete candidate database.

An employer may access information relating to a candidate where the candidate applied directly for that employer’s vacancy, the candidate expressly agreed to an introduction, the disclosure was otherwise explained and authorised, or disclosure is required or authorised by law.

9. Sharing information with affiliated providers

Brisbane Olympic Jobs may work with affiliated or independent providers that assist candidates with employment, migration, training, licensing, taxation, relocation, settlement and related services. These providers may change as the platform grows.

Depending on the candidate’s needs, provider categories may include:

  • registered migration professionals;
  • employers and recruitment agencies;
  • registered training organisations;
  • résumé and employment-support providers;
  • tax and accounting professionals;
  • banking and financial service providers;
  • superannuation providers;
  • accommodation providers;
  • transport and vehicle providers;
  • telecommunications providers;
  • insurance providers; and
  • other relocation or professional service providers.

We will not provide a candidate’s résumé or identifiable profile to an affiliated provider merely because that provider has a commercial relationship with Brisbane Olympic Jobs.

Before making an introduction or providing identifiable candidate information, we will generally explain the intended referral or disclosure, identify the type of provider or opportunity involved, obtain the candidate’s agreement where required and limit the information provided to what is reasonably necessary.

Consent to one introduction does not automatically authorise all future disclosures. Candidates may decline a proposed referral without being prevented from using the general job-search functions of the website, although this may limit our ability to provide the particular service requested.

Affiliated providers are independent businesses and may have their own terms, fees, eligibility requirements and privacy policies.

10. Commercial relationships and referral arrangements

We aim to keep separate consent choices for a specific job application, retention in the Talent Pool, job alerts and platform updates, training, relocation and support services, and any future AI-assisted processing.

12. Automated tools and AI-assisted processing

Brisbane Olympic Jobs may in the future use automated or artificial-intelligence-assisted tools to help extract information from résumés, categorise candidate profiles, identify relevant skills or qualifications, compare candidate profiles with vacancy requirements, improve search and filtering, or suggest possible employment matches.

16. Data retention

We retain personal information only for as long as reasonably necessary for the purpose for which it was collected, providing services, maintaining candidate and employer relationships, considering candidates for future opportunities, complying with legal, taxation and accounting requirements, resolving disputes and protecting our legitimate business interests.

Candidate profiles held for future matching will generally be reviewed, expired, archived, deleted or de-identified when they are no longer reasonably required. Our initial operational objective is to review candidate profiles approximately every 12 months and ask candidates to update or renew their details where practical.

A candidate profile may be hidden from active consideration where it has not been updated within the relevant retention period. Some information may remain temporarily in secure backups after deletion from the active system and will be removed or overwritten through the ordinary backup cycle.

We take reasonable steps to delete or de-identify personal information when it is no longer required, unless we are legally required to retain it.

17. Accessing and correcting your information

You may request access to personal information we hold about you. You may also ask us to correct information that is inaccurate, out of date, incomplete, irrelevant or misleading.

Where candidate self-service functions are available, candidates may be able to update or remove parts of their profile directly. We may need to verify your identity before processing a request.

In limited circumstances, access may be refused where permitted by law. Where appropriate, we will explain the reason.

18. Withdrawing consent and deleting information

You may withdraw consent for future optional uses of your information by contacting us. For example, you may ask to leave the Talent Pool, stop receiving marketing, withdraw consent for future employer introductions, stop receiving information about affiliated services or delete your candidate profile.

Withdrawing consent does not affect a use or disclosure that lawfully occurred before consent was withdrawn. Certain records may need to be retained for legal, taxation, fraud-prevention, dispute-resolution or administrative purposes.

Deletion from active systems may not result in immediate deletion from all backup copies, although backup information will remain protected and will ordinarily be overwritten or removed through scheduled backup processes.

19. Cookies and analytics

Our website may use cookies and similar technologies to operate website functions, maintain sessions, remember preferences, measure traffic and usage, improve website performance, protect against misuse and support advertising or campaign measurement.
